How to Set Up Thunderbird Email

A complete beginner's guide to installing and configuring Mozilla Thunderbird for any email account — Gmail, Outlook, Yahoo, or your own domain. Works on Windows, Mac, Linux, and Android.

What is Thunderbird?

Mozilla Thunderbird is a free, open-source email client developed by the same organisation behind the Firefox browser. It lets you manage all your email accounts in one place — without webmail, without ads, and without your data being scanned. It works on Windows, macOS, Linux, and Android.

Step 1. Download and Install Thunderbird

  1. 1. Go to thunderbird.net and click Download.
  2. 2. Run the installer and follow the prompts. The defaults are fine for most users.
  3. 3. Launch Thunderbird when installation is complete.

Step 2. Add Your Email Account

When you first open Thunderbird, the setup wizard appears automatically. (If it doesn't, go to File → New → Existing Mail Account.)

  1. 1. Enter your name, your email address, and your password.
  2. 2. Click Continue. Thunderbird will try to detect your server settings automatically.
  3. 3. For most major providers (Gmail, Outlook, Yahoo, ProtonMail), auto-detect works perfectly. Click Done and skip to Step 5.
  4. 4. If auto-detect fails or you have a custom domain, click Configure manually and continue to Step 3.

Note for Gmail users: You'll be redirected to Google's sign-in page to authorise Thunderbird. Use an App Password if you have 2-factor authentication enabled (see Step 3a below).

Step 3. Manual Server Settings (if auto-detect fails)

If Thunderbird couldn't detect your settings automatically, you'll need to enter them yourself. Your email provider's support page should list these values — search for "your provider name IMAP SMTP settings".

Click Done when finished.

Step 3a. App Passwords (Gmail & Outlook with 2FA)

If you have two-factor authentication enabled on your email account (and you should!), your regular password won't work in Thunderbird. You need to generate an app password — a special password just for email apps.

Gmail

  1. 1. Go to myaccount.google.com/apppasswords
  2. 2. Select Mail as the app, and the device you're using
  3. 3. Click Generate
  4. 4. Copy the 16-character password and paste it into Thunderbird's password field

Outlook / Microsoft 365

  1. 1. Go to account.microsoft.com/security
  2. 2. Sign in → Advanced security options
  3. 3. Click Add a way to sign in or verify → App passwords
  4. 4. Generate a new password and use it in Thunderbird

You only need to do this once per device. The app password stays valid until you revoke it.

Step 4. Security Certificate Warnings

If you're connecting to a smaller or self-hosted email provider, Thunderbird may show a certificate warning. For major providers (Gmail, Outlook, Yahoo) this won't happen.

  1. 1. When the warning appears, click Advanced.
  2. 2. Review the certificate details if you wish, then click Accept the Risk and Continue.
  3. 3. You may need to do this twice — once for incoming (IMAP) and once for outgoing (SMTP).

Only accept certificates from providers you trust. If you see this warning with Gmail or Outlook, something is wrong — double-check your server settings.

Step 5. Test Your Setup

Your inbox should start downloading emails automatically. Let's send a test to make sure outgoing mail works too:

  1. 1. Click Write to compose a new message.
  2. 2. Address it to your own email address.
  3. 3. Type a quick subject and message, then click Send.
  4. 4. Click Get Messages to check for new mail.
  5. 5. If your test email arrives, everything is working!

Adding More Accounts

Thunderbird supports multiple email accounts side by side. To add another, go to File → New → Existing Mail Account and repeat the steps above. Each account gets its own inbox folder in the left sidebar.

Quick Tips

  • •Thunderbird checks for new mail automatically every few minutes. You can also press Get Messages to check immediately.
  • •You can add as many email accounts as you want — each gets its own inbox in the sidebar.
  • •Thunderbird also supports calendars and chat — look for the add-ons menu if you want extras.
  • •Back up your profile regularly — it contains all your emails, contacts, and settings. Go to Help → More Troubleshooting → Profile Directory to find it.
